1. Introduction

By accessing our services, booking a trip, or communicating with our team for travel arrangements, you agree to comply with and be legally bound by these Terms & Conditions. These terms are designed to ensure transparency, safety, and mutual understanding between the company and all clients. We strongly encourage you to read this document carefully before making any commitments, as it outlines your rights, responsibilities, and important policies related to your journey.

Scope of Agreement

These Terms & Conditions apply to all services provided by Dudhkunda Adventure Treks, including but not limited to trekking, guided tours, peak climbing expeditions, cultural trips, transportation arrangements, and accommodation bookings. Any custom itineraries or special arrangements requested by clients will also fall under this agreement unless otherwise explicitly stated in writing. The terms remain applicable throughout the entire duration of your interaction with us, from initial inquiry and booking to the completion of your trip.

Acceptance of Terms

By confirming your booking with Dudhkunda Adventure Treks, whether directly, through our website, or via a third-party agent, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in full. Your acceptance indicates your willingness to abide by all company policies, including payment terms, cancellation policies, and safety guidelines. If you do not agree with any part of these terms, you should refrain from proceeding with the booking.

2. Booking & Payment

Booking Confirmation

To confirm your reservation with Dudhkunda Adventure Treks, a non-refundable deposit—typically ranging between 20% to 30% of the total trip cost—is required at the time of booking. This deposit secures your place on the trip and allows us to begin necessary arrangements such as permits, accommodations, and guide assignments. Bookings are only considered confirmed once the deposit has been successfully received and officially acknowledged by our team. Due to high demand during peak trekking seasons, we recommend booking well in advance to guarantee availability.

Payment Methods

We offer flexible and convenient payment options to accommodate our clients from around the world. Accepted payment methods include bank transfers, online payment systems, and cash payments upon arrival in Nepal (if agreed in advance). Please note that any additional charges related to international transfers, currency exchange, or payment processing fees are the responsibility of the client. We advise confirming all payment details with our team before initiating transactions to avoid any complications or delays.

Final Payment

The remaining balance of your trip cost must be settled prior to the commencement of your journey or upon arrival in Nepal, depending on the prior agreement made during booking. Timely payment is essential to ensure smooth execution of all travel services. Failure to complete the final payment within the agreed timeframe may result in cancellation of your booking, and the deposit paid may not be refunded. Dudhkunda Adventure Treks reserves the right to deny participation in the trip if full payment has not been received.

3. Cancellation & Refund

Client Cancellation

If you decide to cancel your trip for any reason, you must inform Dudhkunda Adventure Treks in writing as early as possible. Cancellation charges will be applied based on how close the cancellation date is to the scheduled departure. The general policy is as follows:

  • More than 30 days before departure: deposit retained, remaining balance refunded
  • 15–30 days before departure: 50% of total trip cost charged
  • Less than 15 days before departure: 100% of total cost charged

These charges help cover expenses already incurred in preparation for your trip.

Refund Policy

Refunds, if applicable, will be processed after deducting any non-recoverable costs such as permits, accommodation bookings, and administrative expenses. It is important to note that no refunds will be provided for unused services, missed activities, or early termination of the trip by the client. Travel insurance is highly recommended to cover unforeseen circumstances that may require cancellation.

Company Cancellation

In rare cases, Dudhkunda Adventure Treks reserves the right to cancel or modify trips due to circumstances beyond our control, such as extreme weather conditions, natural disasters, political instability, or safety concerns. In such situations, we will offer alternative options, including rescheduling the trip or providing a partial/full refund depending on the situation. However, we are not responsible for additional costs incurred by clients, such as international flight cancellations or personal expenses.

4. Health & Safety

Personal Responsibility

Clients are responsible for ensuring that they are physically and mentally fit to participate in the chosen trek or adventure activity. Many of our trips involve high altitudes, remote locations, and physically demanding conditions. It is strongly advised to consult a medical professional before booking, especially if you have pre-existing health conditions.

Medical Disclosure

You must inform Dudhkunda Adventure Treks of any medical conditions, allergies, or physical limitations prior to the trip. Failure to disclose such information may result in serious risks during the journey. Our guides are trained to handle basic emergencies, but we rely on accurate information from clients to ensure appropriate care and safety measures.

Emergency Situations

In case of illness, injury, or emergency, our team will take all reasonable steps to ensure your safety, including arranging evacuation if necessary. However, all related costs, including helicopter rescue or medical treatment, must be covered by the client or their travel insurance. Therefore, comprehensive travel insurance is mandatory for all participants.

5. Cancellation & Recurits

Trip Modifications

Dudhkunda Adventure Treks reserves the right to modify, postpone, or cancel any itinerary due to unforeseen circumstances such as weather conditions, natural hazards, or logistical challenges. While we strive to follow planned itineraries, flexibility is essential in adventure travel, especially in mountainous regions.

Staff & Recruitment

Our company employs experienced guides, porters, and support staff to ensure a safe and enjoyable experience. We reserve the right to assign or reassign staff members based on availability, expertise, and operational requirements. All staff are selected based on their skills, experience, and professionalism.

Client Conduct

Clients are expected to behave respectfully towards guides, staff, and fellow travelers throughout the trip. Any behavior that disrupts the group or poses a risk to safety may result in removal from the trip without refund. Respect for local culture, environment, and community is mandatory.

6. Safety & Seams Plan

Safety Priority

Safety is our top priority at Dudhkunda Adventure Treks. We carefully plan all itineraries considering weather patterns, altitude, and terrain conditions. Our guides are trained in first aid, altitude sickness management, and emergency response to ensure the highest level of safety.

Risk Awareness

Adventure travel involves inherent risks, including altitude sickness, unpredictable weather, and challenging terrain. By joining our trips, you acknowledge and accept these risks. We take all reasonable precautions, but we cannot eliminate all potential hazards.

Operational Planning

We ensure seamless coordination of logistics, including accommodation, transportation, permits, and meals. However, delays or changes may occur due to external factors such as flight cancellations or weather disruptions. Clients are expected to remain flexible and cooperative in such situations.

7. Prepareion

Physical Preparation

Proper preparation is essential for a successful trekking experience. Clients should engage in physical training, including cardio and endurance exercises, before the trip. Being physically prepared will enhance your enjoyment and reduce the risk of health issues during the trek.

Packing & Equipment

Clients are responsible for bringing appropriate clothing and equipment suitable for the trek. Essential items include:

  • Warm clothing and layering system
  • Waterproof jackets and trekking boots
  • Personal medications and first aid supplies
  • Sleeping bags and trekking gear (if not provided)

A detailed packing list will be provided prior to departure.

Documentation

All clients must carry valid travel documents, including passports, visas, and permits. It is your responsibility to ensure that all documentation is up to date and complies with local regulations. Dudhkunda Adventure Treks is not liable for issues arising from incomplete or invalid documents.
