1. Booking & Reservation

Your journey with Dudhkunda Adventure Treks begins with a personalized reservation. To secure your place, a non-refundable deposit of 20% of the total trip cost is required at the time of booking.

Your reservation is officially confirmed once the deposit has been received and a confirmation invoice has been issued. The remaining balance must be settled prior to departure or upon arrival in Kathmandu.

2. Payment Policy

We offer flexible and secure payment options, including international bank transfer, credit card, and cash payments.

Please note that any associated banking or transaction fees are the responsibility of the client. All payments must be completed within the specified timeline to ensure seamless service delivery.

3. Cancellation & Refund Policy

We understand that travel plans can evolve. However, due to the exclusive nature of our expeditions and the advance logistical arrangements required to ensure a seamless experience, the following cancellation policy applies:

The initial deposit is non-refundable and non-transferable.

Cancellations made 30 days or more prior to departure may qualify for a partial refund (excluding the deposit).
Cancellations within 15 days of departure are non-refundable.
Once the journey has commenced, any unused services are non-refundable.

However, we truly value your payment and trust in our services. To support your flexibility, we are happy to offer the option to transfer your booking to alternative dates, subject to availability and prior notice.

4. Travel Insurance (Mandatory)

For your safety and peace of mind, all guests are required to carry valid travel insurance covering:

High-altitude trekking and mountaineering activities
Emergency helicopter evacuation
Medical treatment and hospitalization
Trip cancellation, delay, and interruption

Proof of insurance may be requested prior to departure.

5. Health, Fitness & Acclimatization

Our journeys are designed for adventurous travelers in excellent physical condition. High-altitude trekking in the Himalayas demands endurance, adaptability, and preparation.

Guests are responsible for disclosing any medical conditions in advance. Dudhkunda Adventure Treks reserves the right to advise against participation if health or fitness levels pose a risk to the individual or group.

6. Tailored Itineraries & Flexibility

While we meticulously design each itinerary for optimal experience and acclimatization, the Himalayas remain an unpredictable environment. Adjustments may occur due to:

Weather and flight conditions (especially in remote regions such as Lukla)
Natural events or trail conditions
Guest health and safety considerations

Our expert guides will always prioritize your safety while preserving the integrity of your journey.

7. Leadership & Guest Responsibility

Our professional guides and expedition leaders are highly trained and experienced. Their decisions are final in all matters concerning safety, route adjustments, and group well-being.

Guests are expected to respect local customs, follow guidance, and contribute positively to the group experience.

8. Liability & Assumption of Risk

By joining our expeditions, you acknowledge the inherent risks associated with high-altitude trekking in Nepal.

Dudhkunda Adventure Treks Pvt. Ltd. shall not be held liable for:

Personal injury, illness, or unforeseen medical conditions
Loss, theft, or damage to personal belongings
Delays or disruptions caused by weather, airlines, or government authorities

Participation is undertaken at your own discretion and risk.

9. Permits, Documentation & Entry Requirements

We handle all required trekking permits and logistics on your behalf. However, guests must ensure they carry:

A valid passport (minimum 6 months validity)
Appropriate visa for Nepal
Passport-sized photographs

Failure to provide proper documentation may affect your ability to travel.

10. Environmental & Cultural Commitment

As custodians of the Himalayas, we are deeply committed to sustainable and responsible tourism.

We follow Leave No Trace principles and encourage all guests to respect the pristine environment, local traditions, and cultural heritage of the regions we explore.

11. Pricing Integrity

All trip prices are carefully calculated; however, they remain subject to adjustment in response to:

Government policy changes and permit fees
Currency fluctuations
Unforeseen logistical costs

Any changes will be transparently communicated prior to final confirmation.

12. Acceptance of Terms

By confirming your booking with Dudhkunda Adventure Treks Pvt. Ltd., you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
